Setting Up Your Program for Success

The Safety Abroad Guidelines and procedures is meant to provide students, staff and faculty with assistance in managing risks associated with international programs and activities.  While safety has always been a concern of the University community, it is important to ensure consistency in our safety abroad programming and standards.

Here is a checklist for your program or department that will ensure that all of the Safety Abroad Guidelinesand procedures are followed:

1.     Assign an administrator who will input and monitor information on the Safety Abroad Database: http://www.safety-abroad.utoronto.ca/
Once someone is chosen, the Safety Abroad Office will create a username and password for them.

a. The information the administrator must collect from the students  in order to register them is:

NAME:
STUDENT #:
DATE OF BIRTH:
DESTINATION: (country and city)
INSTITUTION AFFILIATED WITH: (If applicable)
DATE OF DEPARTURE:
DATE OF RE-ENTRY:

b. For instructions on adding students, please read here: http://www.cie.utoronto.ca/Safety/Safety-Abroad-Database/Instructions-for-Staff.htm

c.  Here are in instructions for your students who are logging on to the database:
http://www.cie.utoronto.ca/Safety/Safety-Abroad-Database/Instructions-for-students.htm

d. Prior to departure we need to ensure all students are entered and that each student has filled in their supplementary health insurance information and their passport information. Our office reminds to students to do this, but we encourage you to do random spot checks to see if any students are missing this information.

2. All undergraduate students must attend a Pre-departure Orientation session if they are going to the US or any other international destinations. If the group is 8 or more students we can organize a specific workshop for the class, otherwise students can sign up for a general session by clicking on this link: http://www.cie.utoronto.ca/Safety/Workshops/Student-Workshops.htm Please let us know if you forward this link to students so that we can forecast how many students will attend and book rooms accordingly. Attendance is taken at the workshop and will be sent to the administrator for their records.

3. Ensure that prior to departure students have handed in all waivers. Please contact us to inquire about templates for waivers.
